Policy checking that finds the discrepancy before your client does.
Bluegrass builds policy checking systems for insurance agencies, brokerages and carriers. They compare each bound policy with the quote, application and prior term, then list every discrepancy for an account manager to resolve.
The system runs in your own cloud account, checks against your own rules and clears policies without review only where its measured accuracy allows.
What policy checking involves today
A policy check compares the issued policy line by line with what was quoted and bound. Commercial packages can run to dozens of forms, so many agencies check selectively, outsource it or let it slip in renewal season.
A missed discrepancy usually surfaces months later, as a claim the client thought was covered and an errors and omissions question. That is why an error avoided here is worth more than the hours saved.
How automated policy checking works
- 01
Collect the documents
The system collects each policy from carrier downloads, portals or email, finds its record in your agency management system and pulls the quote, application and expiring policy.
- 02
Read every form
Each document, native or scanned, becomes structured data down to form numbers and edition dates. Anything the system cannot read with confidence goes to a person instead of being guessed.
- 03
Compare against your rules
The comparison follows a checklist your team agrees for each line of business, so a missing additional insured endorsement outweighs an address written another way.
- 04
Send the exceptions to a person
Each discrepancy comes with its page and line in both documents, so the reviewer can confirm or dismiss it without rereading the policy. Their decisions feed the evaluation set.
- 05
Record the result
The outcome is written back to the policy record in your AMS, so the check is part of the file if the policy is ever questioned.
Where people stay in the loop
Every check goes to an account manager at first. Once the system's measured accuracy on a line of business is agreed, clean policies on that line can clear automatically while discrepancies still go to a person.
The thresholds sit on a dashboard you control, and accountability for the policy stays with your licensed staff throughout.
The systems it works with
Policy checking connects to your AMS, the inboxes where policies arrive and your document store. Findings appear in the AMS or a simple review queue, whichever your account managers prefer.
Built around the AMS you already run
Including Applied Epic, Vertafore AMS360, Sagitta, BenefitPoint and QQCatalyst, HawkSoft, EZLynx and Momentum AMS. Product names and logos are the trademarks of their owners, and Bluegrass is independent of every vendor shown.
When to build it, and when to buy it
Policy checking is a relatively mature category, sold as software or a managed service with human checkers. For an agency with moderate volume, standard lines and no wish to own software, buying is often right, and we will say so.
A custom build makes sense when per-policy fees add up at your volume, when your checklist differs from a vendor's or when policy checking is the first of several workflows sharing one document pipeline.
We hold no reseller agreements, partner quotas or revenue share with any vendor, so a recommendation to buy is made on its merits.
What this work costs you today
A quick way to put a number on the problem before talking to anyone, using your own figures rather than ours.
Enter your volume and the minutes each one takes to see what the work costs in a year.
The numbers stay in your browser and are not stored or sent anywhere. Bring the figure to the first call, since it is the baseline any system should be measured against.
Questions about policy checking
- Which lines of business can it check?
- It pays off most on commercial lines, whose long policies vary by carrier; personal lines can follow when volume justifies them. Each line is measured on your own policies before anything is promised.
- Does it replace our account managers?
- It replaces the reading and comparison rather than the account manager, who gets the time back for discrepancies that need judgment and the client conversations that follow.
- How is accuracy measured?
- The system must pass a labeled set of your own policies, built with your team, before it touches live work and again whenever a model, prompt or rule changes.
- Does it help with errors and omissions exposure?
- A documented check citing every finding's source is a better record than a hand-ticked checklist. It supports your E&O procedures rather than replacing them, and final accountability stays with your licensed staff.
